How to measure marketing enquiries without confusing clicks with customers

Track the whole journey: contact click → enquiry received → qualified lead → booking → completed sale. A WhatsApp click or a prepared form is an expression of intent, not proof of a new lead or customer.
1. Agree what counts as a useful enquiry
Define a qualified lead using your actual service area, relevant need and ability to serve the customer. Avoid changing this definition mid-report to make the numbers look better. Give each enquiry a record ID and a received date; store only the personal information needed for the next step.
2. Keep website events separate
Useful website events include call_click, whatsapp_click and form_prepared. A form that only opens an email draft should use form_prepared, not generate_lead. Use a lead event only after a real submission is received by a backend or confirmed in the CRM. A phone click cannot establish whether anyone answered.
3. Connect the response process
Record when someone first responded, whether the enquiry was relevant, whether an appointment was booked and whether the customer attended. Without this information, marketing can look weak when the real problem is unanswered calls or missed follow-up.
Use a simple pipeline that the team can maintain. A complete and consistent small dataset is more useful than a complicated dashboard full of empty fields. Restrict customer records to the people who need them.
4. Preserve campaign context
Use consistent UTM tags for links you control. Keep source, medium and campaign naming rules documented. Do not put names, phone numbers, email addresses or sensitive enquiry details in URLs or analytics events.
5. Compare meaningful periods
Compare equivalent reporting windows and note holidays, offer changes, site outages and capacity changes. Report the counts behind each rate. Two sales from four leads and twenty sales from forty leads have the same rate but different evidence strength.
6. Report cost and uncertainty
Cost per qualified lead is attributable acquisition cost divided by qualified leads. Cost per customer uses new customers instead. State whether agency fees, production and software are included. If no qualified leads were recorded, show the cost and zero count; do not divide by zero or hide the period.
What should a weekly report say?
Show spend, received enquiries, qualified leads, bookings, completed sales and missing data. Add the main bottleneck and one action with an owner. If revenue data is unavailable, say so rather than estimating an impressive return.
